The website “policyadmin.co.uk” is operated by Policy Administration Services Limited, a member of the Phones 4u group of companies ( “we”, “us”, “our” or “company”). Policy Administration Services Limited is the controller of your personal information.

PricewaterhouseCoopers LLP may act as a processor on the instructions of the joint administrators. Personal data will be kept secure and processed only for matters relating to the joint administrators’ appointment. The Personal Information in relation to insurance policies was transferred to London General Insurance Company Limited (LGI) on 1 October 2022. LGI is a group company of Assurant, Inc., with mailing address of Twenty Kingston Road, Staines-upon-Thames, Surrey TW18 4LG United Kingdom.


Personal Information Collected from You

We may collect and use the following Personal Information from you as part of providing the Service:

  • Name and contact details (e.g. postal address, phone number, email address, company name);
  • Policyholder information (e.g. policy number, certificate number, bank account number, payment card data, billing and payment history);
  • Claims information (claim number, date of loss and reason, call history, loss details, police reference number and supporting documentation); 
  • Covered device information (e.g. make, model, serial number, registration number, vehicle identification number);
  • Records of any correspondence regarding any specific enquiry; and 
  • Feedback that you provide on Our products and services (including through customer experience surveys). 

Purposes and Legal Basis for the Processing of your Personal Information

We process your Personal Information for the following purposes:

  • As required by LGI to conduct our business and pursue our legitimate interests, in particular:
  •   - We will use your Personal Information to administer your policy, including claims and complaints;
      - We will use your Personal Information to respond to any comments or complaints you send us;
      - We use Personal Information to investigate complaints received from you or from others, about our products and services. We also use this Personal Information to track potential issues and trends to better serve you;
      - We use Personal Information in connection with legal claims (for example, relating to denial of an insurance claim), compliance, regulatory and investigative purposes (for example, theft and fraud investigations) as necessary (including disclosure of such information in connection with legal process or litigation).
  • For purposes which are required by law:
  •   -In response to requests by government or law enforcement authorities conducting an investigation;
      -Responding to complaints where We are under a legal or regulatory obligation to adhere to a complaint handling procedure; and
      -Fraud prevention purposes and other legal obligations, including to establish, exercise or defend a legal claim.
  • Withdrawing consent
  •   - o Wherever we rely on your consent, you will always be able to withdraw that consent free of charge. Where you have given us your consent, you can withdraw it by contacting us.

You have a right of notice, access, data portability, rectification, restriction of processing, erasure of the information We hold about you, as well as an objection right which you may exercise at any time.

Retention period

Your Personal Information will be retained no longer than necessary for the purpose we collected it. This means that your Personal Information will not be retained for more than 6 years after the cancellation of your policy to respond to requests, claims for compensation or requests for information.


Information Security

We have implemented safeguards designed to protect your Personal Information in accordance with industry standards. We have measures in place to restrict access to Personal Information to those individuals whom We know have a valid business purpose to have access to such information. We maintain physical, electronic and procedural safeguards. However, no method of transmission over the internet or method of electronic storage is totally secure. Therefore, We cannot guarantee its absolute security.  


International Data Transfers

In the context of the purposes described above, your Personal Information may be transferred outside the United Kingdom (UK) to countries that are not considered to ensure an adequate level of protection of Personal Information. We will ensure that appropriate Standard Contractual Clauses are in place for those countries with privacy laws that do not have adequate protection. We may also rely on our vendor’s Binding Corporate Rules.
